# Report Formatting

Kommon Poll's Report Formatting settings allow teams to create reusable PDF and PowerPoint formats for consistent report exports.

Report formats define the structure and content of exported reports, including which sections or slides are included and the order in which they appear.

Report formats are managed from:

Settings -> Report Settings

From here, you can manage:

  • PDF Formats
  • Slide Formats

Report formats are reusable across the team, helping maintain a consistent reporting structure across different Saved Searches and projects.


# PDF Formats

PDF Formats allow you to define which sections should appear in exported PDF reports and the order in which those sections are presented.

PDF Formats can be accessed from:

Settings -> Report Settings -> PDF Formats


Creating a PDF Format

To create a new PDF Format:

  1. Go to Settings -> Report Settings -> PDF Formats
  2. Click the option to create a new PDF Format
  3. Enter a clear name for the format
  4. Select the sections that should appear in the PDF
  5. Arrange the sections in the required order
  6. Save the format

Once saved, the format becomes available when generating PDF reports.


PDF Format Options

When configuring a PDF Format, you can control which available report sections are included.

Current PDF sections can include:

  • Numerical Summary
  • Mention Count Chart
  • Reach Chart
  • Influence Chart
  • Overall Polarity Chart
  • Overall Subjectivity Chart
  • Sentiment History Chart
  • Source Distribution
  • Key Authors

The available sections may change as reporting features evolve.


Managing PDF Sections

Use the available section controls to quickly configure the report structure.

Add All Sections

Use Add all sections when you want to include all available PDF sections.

This is useful when creating a comprehensive report format.

Remove All Optional Sections

Use Remove all optional sections when you want to return to a smaller report structure and select only the sections you need.

Restore Default Order

Use Restore default order if you want to return the selected sections to Kommon Poll's default report sequence.

You can also manually reorder sections to match the reporting flow required by your audience.


The structure you choose can depend on the purpose of the report.

Executive Report

A simple executive format could include:

  1. Numerical Summary
  2. Mention Count Chart
  3. Reach Chart
  4. Overall Polarity Chart
  5. Sentiment History Chart
  6. Source Distribution
  7. Key Authors

PR or Reputation Report

A reputation-focused format could include:

  1. Numerical Summary

  5. Sentiment History Chart
  6. Source Distribution
  7. Key Authors

Source Performance Report

A source-focused format could include:

  1. Numerical Summary

PDF Formats are best suited for structured summaries based on key metrics and charts.

For reports that require more detailed storytelling, additional analysis sections, or multiple mention examples, use a Slide Format.


# Slide Formats

Slide Formats allow teams to define the structure of exported PowerPoint reports.

Slide Formats can be accessed from:

Settings -> Report Settings -> Slide Formats

Slide Formats support a wider range of analytical sections and can include multiple slides containing individual mention examples.


Creating a Slide Format

To create a new Slide Format:

  1. Go to Settings -> Report Settings -> Slide Formats
  2. Click the option to create a new Slide Format
  3. Enter a clear format name
  4. Review the required slides
  5. Select the optional slides required for the report
  6. Arrange the slides in the required order
  7. Configure mention-slide counts where available
  8. Save the format

Once saved, the Slide Format becomes available when generating PowerPoint reports.


Required Slides

Some slides are required and remain part of the presentation structure.

Required slides include:

  • Cover
  • Definitions
  • End Slide

These slides cannot be removed from the format.

Overview slides can include:

  • Cover
  • Overview
  • Definitions
  • End Slide

Mention Analysis

Mention Analysis slides can include:

  • Mention Count
  • Mention Count History

  • Positive Mentions

  • Top Engagement Mentions

  • Handpicked Mentions

Sentiment Analysis

Sentiment Analysis slides can include:

Source Analysis

Source Analysis slides can include:

  • Platform Distribution
  • Mentions by Source Over Time

Content Analysis

Content Analysis slides can include:

  • Country of Mention

Competitor Analysis

Mention-Slide Counts

Some Slide Format sections can display individual mention examples.

These can include:

  • Positive Mentions
  • Negative Mentions
  • Top Engagement Mentions
  • Official Mentions
  • Handpicked Mentions
  • Competitor Positive Mentions
  • Competitor Negative Mentions
  • Competitor Top Engagement Mentions

Where count controls are available, you can specify how many mention examples should appear in the exported presentation.

For example:

  • Use fewer examples for executive presentations
  • Use more examples when detailed evidence is required

Keeping mention counts focused helps prevent presentations from becoming unnecessarily long.


# Naming Report Formats

Report formats are reusable team-level configurations.

Use clear names that explain the purpose or audience of each format.

Examples:

  • Monthly Executive PDF
  • Campaign Launch Slides
  • Competitor Benchmark Deck
  • PR Crisis Update PDF
  • Monthly Brand Performance Slides

Avoid unclear names such as:

  • New Format
  • Test
  • Final
  • Format 1

Clear naming makes it easier for team members to select the correct format when generating reports.


# Exporting a Report Using a Saved Format

Once a PDF or Slide Format has been created, it can be selected during report generation.

To generate a report:

  1. Open the relevant Saved Search or project
  2. Select the required date range
  3. Apply any required filters
  4. Add selected mentions to the report if needed
  5. Open Download
  6. Select PDF Report or Slides
  7. Choose the required saved report format
  8. Enter or confirm the report title
  9. Generate the report

The exported report will follow the structure defined by the selected format.

Note: If no formats are available during export, create the required PDF or Slide Format under Settings -> Report Settings first.
